Making a Request

To make a valid request under the Freedom of Information (FOI) Act, the following criteria must be met:

  • The full name of the requester must be included
  • The request must be made in writing, either by letter or email;
  • It must contain a return address (this can be an email address);
  • It must clearly identify the information being sought;
  • It must be legible; and
  • The way you would like the information to be sent to you (e.g. hard copy, via e-mail).

We welcome FOI requests in Welsh and will reply in Welsh, this will not delay our response. Please note that any supporting information which forms part of your response will only be provided in Welsh if already available. FOI responses will be published on our website in the language in which they were submitted.

How long will it take?

Once a valid Freedom of Information Request has been received, we have a legal obligation to respond to the applicant within 20 working days, although there are some circumstances where this may be extended.

Occasionally, for example, if a request requires clarification, is particularly complicated or subject to the application of certain exemptions where there is a need to consider public interest factors, the 20 working day period may be extended.

Where clarification is required, the 20 working day time limit will be paused until clarification has been received from the applicant.  If no clarification is received within 20 working days the request will be closed.

Statutory Cost Limit

The cost limit for responding to FOI requests is £450 or 18 hours worth of work. Where it is estimated that the request for information is likely to exceed either of these limits, the request will be declined and a refusal notice issued.

Information relating to Gwent Police

The Office of the Police and Crime Commissioner for Gwent and Gwent Police are two separate organisations, if you require information they may hold then please submit your request to foi@gwent.pnn.police.uk

If a request for information held by Gwent Police is received by the Office of the Police and Crime Commissioner, a response will be provided informing the applicant that we do not hold the information they have requested and suggest that they contact the force in order for a response to be provided.
